Bookkeeping Challenges Clinics Face When Using Jane App

Jane App is an excellent tool for scheduling, charting, and direct billing. Many multidisciplinary, physiotherapy, and counselling clinics rely on it daily.
But as clinics grow, especially when adding multiple practitioners and insurance billing, the bookkeeping behind Jane often becomes more complex than expected.
Here are the most common financial challenges I see when reviewing clinic books.
1. Reconciling Jane Payouts to Bank Deposits
Jane batches multiple payment types together. When clinics process credit cards, e-transfers, and insurance payments, deposits don’t always match neatly to reports.
Common issues include:
Batch payouts not matching bank feed deposits
Timing differences between insurance and card processing
Clearing accounts left unreconciled
Over time, this leads to uncleared balances, reporting inconsistencies, and frustration at month-end.
2. Tracking Revenue by Practitioner
As soon as a clinic grows beyond one provider, revenue tracking becomes more important.
Without proper structure:
Income may not be separated by practitioner
Contractor splits may not match reports
Owner compensation calculations become unclear
Your bookkeeping should mirror how your clinic actually operates.
3. Managing Insurance Receivables
Direct billing adds another layer of complexity.
If insurance receivables are not structured properly in the books:
Revenue can be overstated
Outstanding claims may go unnoticed
Month-end reporting becomes unreliable
This is one of the most common structural issues I see.
4. Integration with Accounting Software
Many clinics use QuickBooks Online alongside Jane. If integration or data exports are not set up properly, it can result in:
Duplicate entries
Missing transactions
Manual corrections each month
The issue is rarely Jane itself — it’s the financial workflow behind it.

Jane App is a powerful operational tool. But as clinics grow, the financial side requires structure beyond what the platform provides by default.
